Migrating donor platforms without losing a single gift

Years of donor history sat in a platform the team had outgrown. We migrated recurring plans in place and ran both systems through one full giving cycle.

The challenge

The existing platform could not support the segmentation and recurring logic the fundraising team needed, but it held every gift record the organisation had. Previous quotes for a move all began with pausing fundraising.

Recurring donors were the real risk: asking thousands of supporters to re-enter card details would have cost more than the platform ever would.

What we did

01

Map before moving

We documented every field, tag and automation in use — and the ones that were not — so the migration carried the programme, not the clutter.

02

Move plans, not donors

Recurring plans transferred at the processor level, so no supporter was asked to do anything.

03

Run in parallel

Both systems ran through one full giving cycle with weekly reconciliation. The old platform was switched off only once the numbers matched.

The outcome

The organisation changed platforms without a missed gift or a lapsed recurring plan, and without pausing fundraising for a day. Segmentation that was impossible before now takes an afternoon.
